Spreadsheet Instructions

This spreadsheet is the single, standardized product submission template for all publishers. It replaces all previous product data templates and must be used to:


  • Submit new products

  • Submit updates to existing products

  • Streamline and standardize the product ingestion process across all publishers


All publishers must use this same template regardless of submission type.

The Type field (dropdown in Column A) determines whether a row is processed as a New Product or an Update.


     Important: Only data entered on the Products tab will be processed.


Required Fields & Formatting Rules


Required Fields:

  • Columns with a yellow header are required for all new product submissions.
  • Updates may not require every yellow field, but all relevant fields being updated must be completed.


Dropdown Menus (Required Usage)


Please use dropdown menus wherever they are provided. Do not type over dropdown values.

Dropdowns are used for:

  • Submission type
  • Product Category
  • Voice / Instrumentation
  • Format
  • Style
  • Grade / Difficulty
  • Product Type (POD, ePrint, Download, LPE, etc.)
  • Coding Flags (Y/N fields)


These dropdowns ensure consistent data and are mapped to the selected Product Category.


Step-by-Step Instructions


1. Submission Type (Column A)


In Column A, select the Type of submission:

  • New – for brand new products
  • Update – for changes to existing products


This selection determines how the system processes the row.


2. Product Category


Select the correct Product Category (e.g., Choral, Band, Orchestra).

  • The Product Category determines which dropdown values are available for: 
    • Voice / Instrumentation
    • Format
    • Style
    • Grade / Difficulty


 It is critical that the Product Category is set correctly before completing other fields.


3. Release & Identification Fields

Release DateDate the item becomes available for sale. The product will not appear on the website before this date.
Product SKU #Publisher's primary SKU for the item
Alternate SKU #Optional secondary SKU
UPC or ISBN #Barcode identifier, if applicable
Copyright YearYear the work was published or copyrighted


4. Title & Naming Fields

5. Audience & Usage Flags (Y/N)


Use Y or N to indicate applicable audiences and characteristics:


  • Revoicing
  • a cappella
  • K-12 School
  • Church
  • Community Adult
  • Community Children’s
  • Collegiate
  • Piano Accompaniment
  • Reproducible


These fields help customers filter and discover content accurately.


6. Format & Delivery Options


Complete all applicable format fields:

  • Lyricist


8. Musical Details
